ISA BEET Board Registration

At the moment we are looking for new board members for our international student association BEET. Do you want to join the board in September 2020? When applying, it should be taken into account that we are looking for students who are motivated and committed to helping to grow our student community. Positions and Responsibilities

​

 

President

Primary responsibilities

  • Leading the board (motivation, delegation, enforcing action, building morale).

  • Ensuring the team works well together (e.g. team-building exercises, board-only activities, team bonding, conflict resolution).

  • Strategy making (planning of events/calendar, maintaining the vision of the association).

  • The face of the vision (knowing the statutes by heart and what we stand for, representing the organisation).

  • Ensuring good board (and committee/student) communication (informing the right people of the necessary information on time, ensuring that there is no repetitive communication from other sources, etc).

  • Primary contact and communication to students and committee members (gathering necessary information from the committees, informing committees of their responsibilities, receiving students’ ideas/requests and criticisms, etc). 

Secondary responsibilities

  • Staff communication.

  • External representation.

  • Ensuring that the next meeting is lined up and everybody is informed.

  • Respect for other board members.

  • Being on time to meetings.

  • Active participation.

  • Being present during meetings (unless there is a valid reason for absence).

Vice President

Primary responsibilities

  • Strategy making (planning of events/calendar, maintaining the vision of the association).

  • The representative face of the vision in the absence of the president (knowing the statutes by heart and what we stand for, representing the organisation).

  • Staff communication (asking for permission for events and/or informing that events will take place, organising security if needed, requesting staff presence if needed, inviting staff to events if applicable, etc).

  • EPC & MT communication (ensuring everybody is on the same page, keeping people in the loop, receiving advice/criticism and delivering it where necessary).

  • External representation (primary contact for external bodies e.g. sponsors, venues etc, contacting venues/performers/servers etc, ordering food/items for events)

Secondary responsibilities:

  • Ensuring good board communication 

  • Ensuring the team works well together (e.g. team-building exercises, board-only activities, team bonding, conflict resolution).

  • Checking/making general assembly presentation.

  • Respect for other board members.

  • Being on time to meetings.

  • Active participation.

  • Being present during meetings (unless there is a valid reason for absence).

Secretary

Primary responsibilities

  • Judicial liabilities.

  • Update record.

  • Keep minutes of the meetings.

  • Make an agenda for every meeting.

  • Set the date for the next meeting.

  • Check and respond to emails.

  • Schedule when committee chairs join board meetings.

  • Creation of general assembly presentation. 

Secondary responsibilities

  • Treasurer responsibilities (e.g. MyRicoh).

  • Organising general assembly.

  • Respect for other board members.

  • Being on time to meetings.

  • Active participation.

  • Being present during meetings (unless there is a valid reason for absence).

Treasurer

Primary responsibilities

  • Making a budget plan for the year (board and all committees) to give to Rogier (includes every event, date, time, description of the events, reasoning as to why this event is necessary/beneficial to students, the budget of the event, the total budget requested).

  • Inventory (money box/cash & bank accounts).

  • Cash flow statements.

  • Keeping a record of financial transactions (keeping record exactly when/where/why/which amount of money is spent or received).

  • Managing the bank account (e.g. responding to letters, ensuring bank details such as address are correct, etc).

  • Switching bank account when necessary.

  • Keeping invoices and receipts.

  • Communicating with new students/members about payments.

  • Bringing money to the bank when necessary.

  • Keeping up to date on the status of board and committee funds.

  • Reimbursements to students/board members/committee members (receipt/proof of payment absolutely required with no exception).

  • Topping up MyRicoh.

  • Organising meeting(s) with committee members (note: at least one before general assembly).

  • Making sure that we do NOT run into a deficit.

  • Communicating financial responsibility to committees.

  • Making of financial aspect if general assembly presentation. 

Secondary responsibilities

  • Respect for other board members.

  • Being on time to meetings.

  • Active participation.

  • Being present during meetings (unless there is a valid reason for absence).

CMO (Chief Marketing Officer)

Primary responsibilities

  • Brand managing (social media/merchandise).

  • Creation of event posters and Facebook banners for events. 

  • Posting regularly on Facebook, Instagram, WhatsApp, LinkedIn, etc (communication future events, sharing event posters, sharing pictures of events, etc).

  • Creating a Facebook event for every activity planned.

  • Uploading general assembly documents to the website.

  • Creation of general assembly presentation.

  • Website management (nice aesthetic, easy to read, up-to-date with all events, etc).

  • Organising/attending committee meetings for posters and event marketing.

  • Communication with committees about advertising events (committees must organise their own posters and provide them to the CMO if they want them advertised on social media platforms/websites). 

  • Communication with staff about event advertisements (e.g. displaying it on the TV).

  • Respect for other board members.

  • Being on time to meetings.

  • Active participation.

  • Being present during meetings (unless there is a valid reason for absence).
